Booking & Cancellation Policy

Booking Policy:
You may book/reserve a service with Beverly Hills Concierge by using a booking tool on this website, or by contacting us via email, phone call or text message (WhatsApp okay). A service may be booked/reserved up to sixty days (60) days in advance or at least two (2) hour prior to requested service time when possible.

Rate at Time of Booking: 
The rate presented at reservation confirmation is intended to serve as a good faith estimate of overall cost of service requested, based on the information provided at the time of booking; it is not intended to represent the actual cost of the service to be provided. Wait time, taxes, extra stops or additional service fees may apply. Final charges will reflect actual usage. Rates are subject to change without notice. Beverly Hills Concierge is not responsible for service delayed or not rendered due to circumstances beyond its control, such as, but not limited to weather, strike, road closure, act of god etc…

Reservation on an Hourly Rate:
Hourly based services are calculated and billed from the time Beverly Hills Concierge’s vehicle leaves its garage – usually in Beverly Hills, CA – until it returns to the same location. The standard minimum is two (2) hours and may increase with vehicle class requested.

Wait Time/Grace Period:
Delays may happen and could, from time to time, prevent riders from meeting their chauffeur at requested pick up, and on time. Beverly Hills Concierge’s personnel and logistics work hard to give chauffeurs enough time to be in position and ready to go prior to reservation pick-up time. Riders are granted a determined wait time to meet their chauffeur at the requested pick-up time and location before incurring any charges:
   1. Airport Pick up:  Beverly Hills Concierge monitors and track all commercial airline, chartered plane, and private jet arrivals to ensure on-time airport pickups: A forty five (45) minute wait time/grace period is allowed on all domestic arrivals, sixty (60) minute wait time on domestic chartered plane or private jet, and seventy-five (75) minutes on all international arrivals. A predetermined fee applies after wait time/grace period have been exhausted, and accrues on a half hour increments, based on vehicle requested at time of booking
   2. Non-Airport Pick up: Ten (10) minute wait time/grace period may be granted. A service fee applies after wait time/grace period have been exhausted, and accrues on a half hour increment, based on the vehicle requested at time of booking.

Marketplace Fees:
Numerous operational costs may incur, all related to handling and monitoring reservations, as well as fees imposed by Municipal, State and Federal Governments, Agencies, tolls, taxes, fuel surcharge, extra stops, after hour surcharge, meet and greet, child seat, cleaning fee, special event service fee,  as well as airport, regulatory, licensing, third party bookers, just to name a few.
   1. Gratuity: A discretionary gratuity is added to each reservation (18-25% of base rate, depending on vehicle selected). Gratuity is a reflection of service received, its voluntary, and can be negotiated or waived at any time.

   2. Service Fee: Its an operational costs for logistics, handling and monitoring a service, or imposed by local, state and federal governments, agencies, airports, regulatory licensing entities, third party booking services, just to name a few.
3. Airport Fee: Beverly Hills Concierge charges up to $18 for airport fee, depending on vehicle class; this fee may increase or decrease at the sole discretion of airport authorities and/or other local & federal agencies involved into its operations.
4. Tax: Charges incurred from Port Authority, Local, State or Federal Government Implied Tax. Tax may increase or decrease at the sole discretion of local authorities.
5. Tolls: Charges incurred by Beverly Hills Concierge at airports or specific highways and/or special roadways between the pickup and drop-off destinations, as well as for times when Beverly Hills Concierge chauffeur returns to garage. Tolls are calculated for all flat-rate transfers based upon the most expeditious route.
6. Fuel Surcharge: Based on the average cost of fuel at the time of reservation for service, as reported by the Energy Information Administration, a statistical agency of the U.S. Department of Energy. Therefore, this charge may increase or decrease with the most current fuel price.
7. Off Regular Business Hour Surcharge: Off Regular Business Hour is defined as any time between 11:59pm PST and 4:50am PST; An additional charge of $20.00 will be applied to the base rate of service requested during that time.
8. Meet & Greet: Beverly Hills Concierge uses Third Party Service Provider for this services, when available at specific airport. A service fee applies as specified by service provider. Otherwise, Beverly Hills Concierge Chauffeur meets client at specific pick up address or else as requested and/or specified.
8. Child Seat: Beverly Hills Concierge may provide, upon request, Child Safety Seat for $25 per Child Seat.
9. Cleaning Fee: Smoking, vaping, eating, or disorderly conducts are strictly prohibited into Beverly Hills Concierge’s vehicle, as well as any other mess, such as eating, vomiting, littering etc… A Cleaning fee may apply may this happen, at Beverly Hills Concierge’s Discretion.
10. Special Event: Due to high demand, additional manpower, logistics and additional equipment needed to handle Client’s need during special events, Beverly Hills Concierge may assess additional service charge on a case by case basis; Special Pricing may supersede regular Pricing and Policies, as set forth by Beverly Hills Concierge at time service request. Specific “Special Event Terms and Conditions” may appear as special instructions upon confirmation of requested service.

Changes & Cancellation Policy:
We, at Beverly Hills Concierge, understand that change of plans may occur. Please be sure to providing an adequate change of cancellation notice within time window as specified when requesting service, by contacting Beverly Hills Concierge via phone call, email or text message (WhatsApp okay) to avoid any cancellation fee.
To avoid Cancellation Fee:
(i) changes or cancellations when travels originate within Los Angeles County requires a four (4) hours Advanced notice.
(ii) changes or cancellations for travels originating outside of Los Angeles County requires a twenty four (24) hours Advanced Notice.
Customers are billed a full fare plus twenty percent (20%) service fee if they fail to provide change or cancellation notice in time frame as above mentioned

No-Shows:
A service is considered a “No Show” if Client cannot be located and/or contacted within (i) one (1) hour for airport pickups (time begins when passenger’s plane lands) or (ii) twenty (20) minutes at other pickup locations. For all No-Shows, the full trip fare, plus twenty (20) percent service fee will be charged. To avoid this charge, or if you are having trouble locating your chauffeur, please do not to leave the pick-up location as specified at time of requesting service without first contacting Beverly Hills Concierge via phone, text or email.

NO Smoking, NO Vaping, NO Alcohol & NO Eating in Vehicle:

To maintain a safe, healthy, clean and comfortable environment for every passengers, the integrity of our vehicles, and to prevent our driver’s impairment and discomfort while on the job, it is strictly prohibited to be in possession of, open and/or consume psychoactive substances such as, but not limited to alcohol, cannabis and its derivative, nicotine, cocaine, LSD…. In case of violation of this policy, we reserve the right to immediately terminate the trip, assess a penalty fee of up to $15,000, as you hereby agree to be liable for, and pay the fee thereof for disorderly conduct, property damage, and endangerment of life of others. We may also contact Law Enforcement in respect to Vehicle Code 23222 VC

Refund Policy:
In general and under no circumstances, except as otherwise specified in this Booking and Cancellation Policy, there is no refund for travels booked with Beverly Hills Concierge.

Billing: Pre-authorization of Charge:
Twenty four (24) to Forty Eight (48) hours prior to your requested service, Beverly Hills Concierge may request a pre-authorization on your credit/debit card or pre-paid account for the estimated total of your service confirmation, plus thirty (30) percent of the total. A pre-authorization is a “hold” on funds from your bank card or account, drawn by Beverly Hills Concierge at time of requested service confirmation. Beverly Hills Concierge reserves the right to cancel requested service when we are unable to request a pre-authorization from the provided payment information prior to requested service.
